Privacy Notice for the Tocanan GEO Snapshot Tool

This notice describes the information collected when you request a GEO Snapshot at audit.tocanan.ai.
What the tool collects
When you submit the GEO Snapshot form, Tocanan collects:
- brand name
- brand domain
- industry
- email address
- up to two competitor brand names that you supply
- job title and work email when you unlock the results view
Why Tocanan collects it
Tocanan uses this information to generate and deliver the GEO Snapshot, benchmark the brand against the named competitors, identify the brand and website being reviewed, and follow up with you about the result.
Competitor names are supplied by the requester and used only to benchmark within the Snapshot and related follow-up about that Snapshot.
How long Tocanan keeps it
Snapshot request data, including supplied competitor names, is retained for up to 12 months.
If a requester converts into an active Tocanan contact, contact details move to Tocanan's CRM, HubSpot, as the system of record. The audit-tool copy is deleted after 12 months of no engagement, or earlier on request.
Processors
Tocanan does not sell GEO Snapshot request data. The tool uses these processors to operate the Snapshot:
- Google Analytics 4, for usage analytics.
- Google reCAPTCHA v3, for spam and abuse protection.
- HubSpot, for marketing and CRM follow-up, including the tracker and results-unlock contact storage.
- Amazon SES, for email delivery.
reCAPTCHA v3 is treated as strictly necessary and remains on because it protects the public form from automated abuse. Analytics and HubSpot tracking load only after consent.
Deletion requests and questions
To ask what Tocanan holds about a GEO Snapshot request, or to ask for it to be deleted, write to [email protected] and say so. We will act on it.
